Privacy Policy — DocSera Pro
Version 1.0 — Effective 23 July 2026
Note: DocSera Pro is intended for licensed healthcare professionals. This Policy differs from the DocSera Patient app Privacy Policy because our relationship with Doctor Data and Patient Data is fundamentally different (see §1).
1. Introduction
This Privacy Policy describes how DocSera ("we," "us," "our") collects, uses, discloses, and protects personal data in connection with the DocSera Pro mobile application, web application, and related services (collectively, the "Service") provided to licensed healthcare professionals ("Doctor," "you," "your").
This Policy applies to:
Personal data about you, the Doctor — including identification, professional credentials, contact information, and Service-usage information ("Doctor Data").
Personal data about your patients that you process through the Service ("Patient Data" or "PHI").
Our relationship with each category is fundamentally different:
For Doctor Data — we are the data controller. You provide it to us so we can operate the Service.
For Patient Data — you are the data controller. We are the data processor acting on your instructions.
This distinction matters because your patients' privacy rights are managed through you, the treating doctor. We process Patient Data only on your documented instructions.
2. Doctor Data — What We Collect About You
2.1 Information you provide directly
When you create and use a DocSera Pro Account, we collect:
Identity: Full name, date of birth, gender, national ID or passport (for verification).
Professional credentials: Medical license number, specialty, qualifications, license issuing authority, license expiration date, professional title.
Platform identifiers: Per-install anonymous ID; stable per-device fingerprint on iOS and Android (used to deduplicate push routing).
Service-usage analytics: Screen visits, button taps, feature usage, performance metrics. PHI is never sent through the analytics pipeline (see §6.3).
Error and crash data: Stack traces, exception types. Patient data is filtered automatically, and the data is logged and processed entirely within the app's infrastructure inside Syria.
Push-notification tokens: FCM or Pushy. Used solely for routing notifications to your device.
Network metadata: IP address, HTTP paths, response codes, timing.
2.3 Information from third parties
Apple App Store / Google Play: Subscription state, in-app purchase receipts.
Pushy / Firebase: Delivery receipts for push notifications you sent.
2.4 What we do NOT collect
We do not collect biometric data (fingerprint or face template never leaves your device).
We do not collect detailed location data. We collect only coordinates you explicitly enter or confirm.
We do not collect data from third-party social networks or contact lists.
We do not use third-party advertising trackers.
3. Doctor Data — How We Use It
Service operation. Authenticating you, displaying your profile, scheduling appointments, processing payments, delivering notifications.
Service security. Detecting and preventing unauthorized access, fraud, and abuse.
Customer support. Responding to your questions, troubleshooting.
Product improvement. Analyzing aggregated and anonymized usage data.
Compliance with legal obligations. Responding to lawful requests from competent authorities.
Communications. Transactional emails, account notices, and marketing (with your separate opt-in).
4. Doctor Data — Legal Basis
Performance of a contract — to provide the Service you have subscribed to.
Compliance with a legal obligation — applicable laws (tax, professional regulation, patient-data protection).
Legitimate interests — to operate, secure, and improve the Service.
Consent — for optional features such as marketing (withdrawable at any time).
5. Patient Data (PHI) — Our Role as Processor
You alone determine what Patient Data you record, store, or transmit through the Service. We process Patient Data only on your documented instructions and only for the purpose of providing the Service.
We will:
Not access Patient Data except as strictly necessary to operate, maintain, or secure the Service, or as required by law.
Not use Patient Data for any other purpose (including analytics, marketing, or product improvement).
Not disclose Patient Data to third parties except as instructed by you or as required by binding legal process.
Implement appropriate technical and organizational measures to protect Patient Data (see §7).
Notify you without undue delay of any confirmed unauthorized access or disclosure (see §11).
5.1 Patient consent
You are responsible for obtaining and documenting the consent of each patient to your storage and processing of their data through the Service, in accordance with the applicable laws of the Syrian Arab Republic and your professional code of conduct; this responsibility does not transfer to us.
5.2 Encrypted-at-rest content
Certain Patient Data categories — messages, memo notes, encrypted file attachments — are encrypted using AES-256-GCM (authenticated encryption). Decryption happens client-side. The plaintext is not stored persistently on our servers.
6. Who We Share Data With
6.1 Subprocessors
We rely on a limited number of trusted third-party service providers ("Subprocessors") to operate the Service:
Supabase (self-hosted inside Syria): Database, authentication, file storage. All Doctor Data + encrypted PHI.
Pushy.me: Push delivery for devices without Google Play Services. Device tokens; notification metadata (no PHI).
Apple Push Notification Service: iOS push delivery. Device tokens; notification metadata (no PHI).
Mailgun: Email gateway for account-related service messages (verification codes, team invites). Email address and message content only — no PHI.
Google Maps Platform: Geocoding for clinic addresses. Address text, coordinates.
App Store Connect / Google Play Console: App distribution, subscription billing. Subscription state, tokenized payment references.
We require each Subprocessor to maintain appropriate confidentiality and security standards. We do not authorize Subprocessors to access Patient Data except where strictly required for the limited purpose of providing the relevant service.
6.2 Legal disclosures
We may disclose Doctor Data and, where compelled by law applicable to the data controller (you), Patient Data:
To respond to subpoenas, court orders, or other binding legal process.
To comply with a legitimate request from a competent regulatory authority (Syrian Ministry of Health, Syrian Ministry of Communications & Technology).
To enforce our Terms of Service and protect our rights, property, or safety.
In connection with a corporate transaction (merger, acquisition, sale of assets) where the recipient agrees to maintain equivalent protections.
6.3 Analytics and crash-reporting hygiene
Analytics: The event catalog whitelists which properties may be sent. Identifier properties such as patient_id, conversation_id, appointment_id are stripped from analytics events in the offline queue.
In-Syria crash monitoring: every technical error is logged to the app's database inside Syria (the pro_error_events table) after automatic redaction of any personal identifiers — request bodies, query strings, HTTP headers, and phone/email patterns — both before logging and server-side. Crash data is never sent to any service outside Syria.
7. Security
Encryption in transit: TLS 1.2+ for all API traffic.
Encryption at rest: Message bodies, memo-note bodies, file attachments encrypted with AES-256-GCM. Database backups stored encrypted.
Access control: Strict Row-Level Security; granular permissions for Center team members; principle of least privilege.
Authentication: Password + OTP, with biometric unlock as additional factor.
Rate limiting and abuse prevention: Per-identifier rate limits on signup-lookup RPCs; per-user rate limits on telemetry RPCs.
Vulnerability management: Regular dependency updates; security review of major changes.
Backups: Regular, encrypted database backups within the infrastructure inside Syria.
No system is impenetrable. We cannot guarantee that data will never be intercepted, lost, or altered without authorization. You assume the risk to the extent permitted by law.
8. Retention
8.1 Doctor Data
Identity and credentials: Account duration + 7 years post-termination.
Billing records: 7 years (tax retention).
Service-usage analytics: 24 months in aggregate; identifiable detail purged after 90 days.
Technical crash reports: logged within the app's infrastructure inside Syria, and deleted after a maximum of 24 months.
Authentication audit logs: 12 months.
8.2 Patient Data
Retention is determined by you, as data controller, in accordance with applicable medical-records retention law. On Account termination, we export the data to you and then delete it from our infrastructure within 60 days, unless retention is required by binding legal process.
8.3 Temporary deletion before permanent purge
When you delete a record, we may retain it in a temporarily-deleted state for a recoverability period (typically 30 days) before permanent purge. Temporarily-deleted records are not accessible through the Service UI.
9. Your Rights
Right of access — request a copy of the Doctor Data we hold about you.
Right of rectification — request correction of inaccurate Doctor Data.
Right of erasure — request deletion, subject to our retention obligations.
Right of restriction — request restriction of processing in certain circumstances.
Right of portability — receive your data in a structured, machine-readable format.
Right to object — to processing based on legitimate interests.
Right to withdraw consent — where processing is based on consent.
To exercise any right, contact us at privacy@docsera.app. We will respond within a reasonable period (typically 30 days).
9.1 Patient rights flow-through
Patients exercising privacy rights with respect to data you store should contact you as the data controller. If we receive a direct request from a patient regarding data you control, we will forward it to you and reasonably cooperate with your response.
10. Where data is stored and its residency
Our infrastructure is hosted, and all Doctor Data, Patient Data, documents, and messages are stored, entirely within the Syrian Arab Republic (Syriatel infrastructure); healthcare data never leaves Syrian territory. Technical errors are monitored and processed entirely inside Syria.
The only globally-scoped services are push-notification delivery (Apple, Google/Firebase, Pushy), map display (Google Maps), and the email gateway (Mailgun) — these receive no health data whatsoever, only a device token and short notification text, map-tile coordinates, or an email address and verification-message content.
11. Data Breach Notification
If we become aware of a confirmed unauthorized access to or disclosure of Doctor Data or Patient Data, we will:
Notify you without undue delay after we become aware.
Describe the nature of the breach, categories and approximate number of affected records, likely consequences, and measures taken or proposed.
Cooperate with you in any notification you are required to make to affected patients or competent regulatory authorities.
12. Children's Data
The Service is intended for use by licensed healthcare professionals only. We do not knowingly collect personal data directly from children. Patient Data may include information about minors, processed under your direction in accordance with applicable law and the patient's parent or guardian's consent.
13. Automated Decision-Making
We do not use Doctor Data to make automated decisions that have legal or similarly significant effects on you. The Service does not provide automated medical opinions or clinical decision support; all clinical judgments remain yours.
14. Cookies and Similar Technologies
The DocSera Pro mobile applications use device-local storage (SharedPreferences, UserDefaults, encrypted flutter_secure_storage). They do not use HTTP cookies in the traditional web sense.
The DocSera Pro web application uses a minimal set of first-party cookies (session, locale, theme preference). We do not use third-party advertising or tracking cookies.
15. Changes to This Policy
We may update this Policy from time to time. The "Effective Date" reflects the latest revision. We will notify you of material changes via the Service and/or by email at least 30 days before the changes take effect.
Address: Damascus Countryside — Jaramana real-estate area — Property 1181, Office 171, Syrian Arab Republic

17. Language
This Policy is published in English and Arabic. In the event of any inconsistency between the two versions, the Arabic version shall prevail.
18. Regulatory compliance and legal reference
This policy is designed to comply with the requirements of Apple App Store and Google Play and with the requirements of the Ministry of Health of the Syrian Arab Republic issued by Regulatory Decision No. 24/T of 2025 (General Controls and Regulations for Electronic Medical Applications).
18.1 Target tier classification
DocSera Pro is submitted for licensing under الصنف الثاني (Tier 2) of Decision 24/T as an administrative digital tool for licensed physicians to organize their clinic, maintain administrative records, and conduct administrative communication with patients.
